Introduction
We have created functionality for those retailers who wish to check Age Validation against their items as they are added to the basket. These Age Validation Rules can be set against Categories, Products, or Product Options.
This Quick Reference Guide (QRG) covers how to create those rules, assign them against those Categories, Products or Product Options, and then check a customer’s age validation at the Till.
Rule Setup
To create Age Validation rules,
- log into the Backoffice.
From within the Admin menu,
- scroll down to the Point of sale section and select Age Rules.
The Age Rule List will appear blank if you are yet to create a rule. To create a new rule,
- Select New, located at the bottom on the page.
The New Age Rule page will display.
In the Title field,
- enter a unique name for the rule.
In the Description field,
- you can type details of the rule.
Note: this is a non-mandatory field.
- Click Save.
Next,
- in the table displayed, enter the age for that rule against each of your locations.
Or;
- use the Set all to function to apply against all locations at once and select OK.
If you wish to set a Visible Age against your rule,
- enter it against the relevant locations, or again, use the Set all to button to apply to all.
Note: a Visible Age is an age that customer’s must look older than in order for them not to require identification when purchasing that item.
If you do not wish to apply a Visible Age against the rule, meaning that the Till Operator is forced to scan/ enter the customers DOB in order for them to purchase that item,
- enter ‘0’.
- Save changes at the bottom of the page.
- Return to the Age Rule List.
- Continue to add as many rules as required.
Assigning Rules
Rules can be assigned at 3 different levels: Category, Product & Product Option.
The system always applies the rule against the Product Option first, followed by the Product, & then the Category.
In the example displayed below, the rule is being assigned at Product Option level.
From within the Admin menu,
- search for your item.
- Scroll down to the Age rule field and select the relevant rule you wish to apply from the dropdown box.
- Save changes made.
- Repeat the above process for all items, Products or Categories that you wish to apply rules to.
Age Verification on the Till
- Login into the Till with a PIN.
- Scan or search for the item.
An Age Verification box will appear.
Once the Age Verification box appears, ▪ scan the Barcode on the customer’s ID.
If you can’t scan the ID,
- manually enter the Date of Birth in the format MM/DD/YYYY.
If you have added an item to the basket that does not have an Age Visible option, then you will not have a button to bypass this Age Verification box.
- Select a relevant Reason Code. Note: these Reason Codes can be created in Admin > Reason Code Management as standard.
- Select Verify sale
Or;
- If the customer is visibly older than the Visible Age set against the item, select the Customer is visibly over… button.
The Age Verification box will disappear, and a message will appear depending on if the customer has met the age requirement.
If the customers age was successfully verified, then the following message will appear:
If the customer did not meet the age requirement then the below message will appear:
If Void line was selected, the Age Verification box will disappear and the item line will still appear in the basket but as ‘void’.
- Continue with the rest of the sale as standard.
The system will remember the Customer’s age for the remainder of the transaction, so if other items are added to the basket with the same rule applied, the Age Verification box will not appear again.
Items with Age Verification rules applied can also be added via Hotkeys.
- Select the Hotkey button.
- Select all the items that you wish to add to the basket.
The Age Verification box will not appear until the OK button is selected.
Once the ID is scanned/ the Date of Birth is entered, the system will then verify against the item(s) with the oldest age rule applied.
In the example below, 3 items with an age requirement of ‘25’ were added to the basket, along with 3 items aged ‘18’.
The Customer’s DOB was verified against age ‘25’, as this is the oldest age.
